Creating a Personal DocList
DocLists allow the categorisation of documents that may have similar content or type. When a DocList is created it is categorised as Personal, that is it can only been seen by the user who created it. Permissions can be assigned allowing others to add documents to it. However if is deemed suitable for other personnel it can be promoted to a "Group DocList" which will ensure other users will be forced to see it in their Document Portal view.
Bear in mind that a individual document may appear in more than one list. This does not mean that there is more than one copy of the document in the database as the DocList is merely a pointer that looks to the appropriate document. Naturally if the document is withdrawn it will be removed from all DocLists.
From Workbench's Document Control module, select [Documents] [View Document...] from the menu.
From the "Select Document to View" window, right click on the Library Doclist and select New Doclist.
In the "New DocList" window, give the Doclist a name and press [OK].
The newly created Doclist (My Documents) appears in the Document Lists section of the window. It's blue colour denotes that it is a Personal one.
Return to the Library to show all documents and proceed to drag and drop those documents required in the Personal DocList.
Highlight the Personal DocList and the selected documents will appear.
Various tasks are available via the Right Click function.
Cut DocList - allows a DocList to be cut and pasted into another Doclist.
Copy DocList - allows a DocList to be Copied to another DocList.
New Child DocList - allows a new Child Doclist to be created under the original (Parent). The Child will inherit the same permissions as the Parent.
Promote - allows a DocList to be 'Promoted' to another group i.e. Shared or Global.
Rename - allows a DocLIst to be renamed.
Delete - allows a DocList to be deleted.
Permissons - allows permissions to be assigned for other users to View, Add, Remove & Hide documents within the DocList.
The following colour codes are assigned to different DocList groups;
Yellow - the main DocList library (displays all documents in the database that the logged-in user can see).
Pink - Global (all users can view).
Green - Shared (users must be given access to view the contents).
Blue - Personal (only the owner can view. If access is given for other users to view, it is promoted to Shared).
